IMS offers a barcoded and inventoried system housed in a secure and climate-controlled warehouse. This information can be indexed online, making retrieval and timely delivery as simple as a few clicks.
Secure Records Center
When your records are stored with IMS, you can rest easy knowing they are safe in our facility. Only designated personnel are allowed to enter the warehouse or our records system; visitors must sign in and out on arrival before advancing past the reception area.
All boxes or files arriving at our doors are given an anonymous barcode and scanned into an index before finding a home in our racks. Boxes are placed in the first available space, which means your confidential data is scattered; this makes it virtually impossible for anyone to find your unlabeled and randomly placed information without opening every single box.
Retrieving Your Records
We understand that documents in storage will need to be accessed. We offer Scan on Demand so the originals never leave the premises, or we will retrieve your boxes or files and deliver them the next day (emergency delivery available upon request). We also offer a private viewing room for use in the event of an audit or special project.
When the time comes to destroy your information, your boxes are transported through an interior door and shredded along with documents from a variety of other businesses. This mix adds one more level of privacy before the shred is transported directly to a paper mill for recycling. A certificate of destruction is your proof that the job is done.
